California has introduced two new online filing options intended to make sales and use tax reporting easier for eligible small retailers.
On July 8, 2026, the California Department of Tax and Fee Administration (CDTFA) announced the launch of Quick File and the Return Filing Tool. Both options are available through CDTFA’s Online Services system, but they serve different types of filers and do not change the underlying sales tax rules.
For retailers that prepare returns internally, the new tools may reduce manual entry and make the filing process easier to follow. Businesses still need accurate sales records, exemption support, location data, and use tax information before beginning a return.
What is Quick File?
Quick File is designed for eligible businesses filing annual or fiscal-yearly sales and use tax returns. When a potentially eligible taxpayer begins filing online, CDTFA may offer the option to use Quick File. The business answers five eligibility questions and, if it qualifies, may complete the return by entering its total tax due.
CDTFA has said that eligible businesses may be able to complete the process in under two minutes. The simplified process can be useful for small retailers with straightforward activity, but businesses should not treat speed as a substitute for reconciliation. The total tax due should still be supported by sales reports, taxable-sales calculations, marketplace data, exemption records, and any purchases subject to use tax. Businesses that do not qualify can continue through the standard filing process.
What is the Return Filing Tool?
The Return Filing Tool provides a guided, step-by-step filing experience. Rather than requiring the filer to navigate the traditional return screens without additional direction, the tool asks a series of straightforward questions intended to help the business report its activity accurately.
Eligible users will see a “File Using the Return Filing Tool” link in their CDTFA Online Services account. This option may be helpful for owners or internal accounting staff who understand the company’s transactions but do not file California sales tax returns frequently. It can also help reduce missed fields or confusion about where information belongs.
Which businesses can use the new tools?
The tools are available only to eligible retailers that file sales tax returns online. Quick File is specifically aimed at qualifying annual and fiscal-yearly filers. The Return Filing Tool may be offered to other eligible accounts, depending on the return and account characteristics recognized by CDTFA. A business does not need to determine eligibility before logging in. CDTFA will present the appropriate option when the account and return qualify.
Retailers should access the tools through their existing CDTFA Online Services profile. Businesses should be cautious about links received by email and navigate directly to the official CDTFA site when filing or making payments.
What retailers should prepare before filing
A simpler interface does not simplify the underlying tax analysis. Before using either tool, a retailer should have:
- Gross sales for the reporting period,
- Taxable and nontaxable sales totals,
- Support for claimed deductions and exemptions,
- Sales by California district or location, when applicable,
- Marketplace facilitator reports,
- Purchases subject to California use tax, and
- Prior prepayments and payment confirmations
California assigns filing frequencies based on the retailer’s account and reported or anticipated activity. A return is generally required by the assigned due date even when the business has no sales to report.
Ecommerce businesses should also reconcile platform reports carefully. A marketplace may collect tax on some transactions while the retailer remains responsible for direct website sales, in-person activity, or sales through other channels.
What the new tools do not change
Quick File and the Return Filing Tool do not determine whether a transaction is taxable, establish the correct sourcing treatment, or verify that every deduction is supportable. They also do not resolve questions involving:
- Multiple California locations or district tax rates,
- Resale certificates,
- Exempt or partially exempt transactions,
- Marketplace facilitator activity,
- Out-of-state inventory or fulfillment,
- Purchases subject to use tax,
- Prior-period errors, or
- Amended returns or refund claims
A completed filing can still be incorrect when the underlying records, classifications, or tax assumptions are wrong.
How Aura Advisors can help with California sales tax filing tools
The new CDTFA tools may make return preparation faster for eligible retailers, especially those with straightforward annual filings. Businesses should still reconcile the return to their books, sales platforms, exemption records, and payment history before submitting it.
Aura Advisors can help retailers evaluate taxable activity, review filing procedures, and identify issues that may require a more detailed analysis than the simplified tools provide. We can also help businesses assess prior-period exposure and develop a supportable approach when records or filing positions need attention.
